Albrighton Village Halls Trust HIRING RULES

RULES:
1. BOOKINGS.
Daytime and evening (Sunday, Bank Holidays and the whole of August only if absolutely essential).
a. REGULAR MONTHLY HIRERS. Regulars can plan 12 months ahead provided they
do not change Day or Room without consulting the Manager. Hirers must complete and hand in their quarterly hiring forms by
15th of the quarter month (June, September, December and March). If this is not done, regular days may be allotted to another
hirer after the end of the quarterly month concerned. The form must be signed by a responsible official of the organization.
CANCELLATION, two weeks notice must be given otherwise fee is chargeable in full.
b. REGULAR WEEKLY HIRERS. Regulars can plan 12 months ahead provided they do not change
Day or Room without consulting the Manager. Hirers must complete and hand in their monthly hiring forms by 1st of the month. If this is not
done, regular days may be allotted to another hirer after the end of the month concerned. The form must be signed by a responsible official
of the organization. CANCELLATION, two weeks notice must be given otherwise fee is chargeable in full.
c. OCCASIONAL HIRERS. A deposit of 25% must be paid at the time of booking. Fees must be
paid in full 4 weeks before the date of the event. In the event of CANCELLATION less than four weeks prior to the event the deposit will not
be returned. If the CANCELLATION is less than two weeks before the event the hiring charge must be paid in full.
2. FEES. a. Monthly hirers to pay by 15th of the quarter month (June, September, December and March).
b. Weekly hirers to pay monthly before the end of the current month.
c. Ocasional hirers to pay 25% deposit, balance 4 weeks prior to the event.
d. CLEANING. When the whole building is hired a cleaning fee of £25.00 is required (washing up not included)
alternatively, the hirer can clean the premises.
e. For private parties a deposit of £50.00 is required for cleaning breakages. If the building is cleaned to the
satisfaction of the manager and there are no breakages the deposit will be returned. If the building is not cleaned and or there are breakages
the deposit will be used to cover these costs.
f. All payments by cheque must be made five working days before the due date to allow the cheque to clear.
All food must be removed from the building on the day of the event, failure to comply will result in a charge being made.
3. RESPONSIBILITIES OF HIRER
a. Unless the cleaning fee has been paid it is the hirers responsibility to leave the premises in a clean and tidy
condition.
b. All furniture is to be restored to its original position. Furniture to be moved from one room to another, only by
arrangement with the management committee.
c. All surplus food and rubbish must be taken away and kitchen left clean and tidy.
d. No flammable gases are allowed in the building, ie. Butane, Gas, etc.
4. LICENSED PREMISES
The whole of the Red House is “Licensed Premises” and therefore subject to the following conditions:-
a. Intoxicating liquor to be consumed only during “permitted hours” and for Friday and Saturday bookings
until 12.30 am.
b. Under no circumstances are hirers permitted to bring in intoxicating liquors into the Red House.
c. An Entertainment License has been granted to the committee in respect of the Red House by Bridgnorth
District Council subject to the following conditions:-
From 2.00 pm to 1.00 am daily, excluding Sunday, Christmas Day and Good Friday the volume of sound will be controlled
so as not to constitute a nuisance to adjoining residents, nor to tenants of the flat above, all outside doors must be kept closed during
functions. To ventilate, operate green / red button switches situated near the serving hatch in kitchen. That the above condition be enforced
on behalf of the management committee by the Manager.
d. All payments to the bar must be in cash. If a bar tab is set up it must be paid in advance and in cash.
GENERAL CONDITIONS
a. The management committee reserves the right to refuse a hiring without furnishing an explanation.
b. Reasonable preparation time without charge can be arranged at the manager's discretion.
c. Any damage to the Committees property as a result of occupation by the hirers shall be made good by the hirer.
d. The committee accepts no liability for loss of goods left on the premises
e. The hirer is responsible for insurance against injury or damage claims, if caused by their own negligence.
f. During dances, socials, parties etc. the hirer must ensure that there is a doorkeeper at the front entrance to regulate
admissions and ensure that no one is admitted to the function after 10.30 pm.
g. Only bona fide persons attending the function can be served at the bar. On no account must anyone be admitted
simply to purchase drinks from the bar. Persons under the age of 18 years must not consume alcoholic drinks anywhere on the premises.
h. Hirers of events for children must provide the minimum number of adults stated below, who will attend the event and be responsible for adequate supervision and to ensure that the hiring rules are complied with.
For a party up to 25 attending 4 adults
26 to 50 5
51 to 75 7
76 to 100 10
101 to 125 12
126 and over 15 i. The Management Committee requires that everyone using these premises will accept as his/hers responsibility,
the need to prevent misuse of the furniture, fittings etc., so that all can enjoy for many years ahead, the excellent facilities are provided by the
hard work of local voluntary workers over a long period of time.
j. There is no parking provided at the Red House. At no time must the access road be blocked. This is a condition of the entertainment license, that there will be unrestricted access for emergency vehicles for the Red House and adjoining retirement homes.
